Differences between proofreading and editing

Proofreading is the final stage of editorial processing, aimed at eliminating errors and technical flaws in the text. Unlike editing, which affects content, structure and style, proofreading focuses on details: spelling, punctuation, formatting and consistency of text elements. It is a process that turns a draft into a professional, publication-ready document.

Editing and proofreading are complementary, but different stages of working with text. Editing improves the clarity, logic, style and integrity of the material. An editor may make changes to the structure, remove repetitions or suggest reformulating ideas. Proofreading is a "finishing" edit. The proofreader corrects typos, punctuation errors, checks for compliance with formatting standards (fonts, indents, headings) and eliminates technical errors, such as duplicate spaces or incorrect hyphenation.

The role of a proofreader in our agency is often performed by an editor. A proofreader is a specialist responsible for the final proofreading of a text. Their tasks include:

Proofreading for errors: searching for spelling, punctuation, and grammatical errors.

• Unification of elements: bringing lists, headings, abbreviations, and numbers (e.g., dates or units of measurement) to a single format.
• Working with layout: checking the layout of the layout, eliminating "hanging lines," checking hyphens.
• Recording edits: using proofreading marks or Track Changes tools (in digital formats).
• Final check: approving a proofreading copy before printing or publication.

Proofreading stages

The proofreader becomes familiar with the requirements of the publication — style (e.g., APA or GOST), readership, and the specifics of formatting tables, illustrations, and formulas. Analyzes the document: a quick look at the text to identify repeating elements (terms, abbreviations) that require unification.

Proofreading and editing

The text is read in its entirety to understand the context and highlight potential problem areas (for example, complex terms or non-standard punctuation). Errors are searched for and each sentence is sequentially checked for compliance with language standards. All corrections are marked using standard proofreading symbols (if the digital manuscript format is not available) or Track Changes.

Working with document layout and design

If the text has already been laid out, the proofreader checks whether the structure has been broken when transferred to the layout. At this stage, bibliographic lists, bibliographies, and references in the text are formatted and checked in accordance with the specified reference style.

Proofreading is not just a search for commas and errors, but an important stage that guarantees the quality of the finished document, article, book, or text for publication. Even a small typo can undermine the author`s credibility. A professional proofreader combines attention to detail, knowledge of standards and understanding of context.
